Inspection Reports
 

At Landlord we greatly value the importance of inspection reports. For this reason we have developed a proprietary on-line web based inspection report program that tracks the condition of the property from the day Landlord took over the management of the property. These reports are conducted using tablet computers that are connected wirelessly to our servers. The reports are updated once a year and every time a tenant moves in and out. All of these reports along with their pictures are available to our clients to view on-line.

The object of these inspections is to note obvious tenant damages beyond what is considered to be “normal wear and tear” and to identify areas in need of repair and regular maintenance.

Normal Wear and Tear vs Tenant Damages

The industry has defined normal wear and tear is defined as scuff marks on walls, scratches on floors or carpet stains and etc, incurred as a direct result of normal daily living. The amount of normal wear and tear can be greater by the number of occupants in the property and the length of the lease. Tenant damage is usually more black and white ie: a hole in the wall. In a perfect world, normal wear and tear and tenant damage would customarily be found at opposite ends of the spectrum making it easy to define. But based on subjective interpretations there tends to be a very large grey area in between these two categories. Unfortunately based on our Tribunal experiences, if the item in question falls into this grey area, then it is usually defaulted to be normal wear and tear.

How to View A Sample Report

The format for the inspection reports listed below are identical except for the activities conducted with the report. A sample of the following reports can be viewed by entering the “Client Services” section of this website found on the Home page. Inside this area, enter the Client Id# as “sample” and the password as “sample”. As a client you will receive your own client id and password to view your inspection reports.

Initial Property Inspection

The purpose of this inspection is to properly document the condition of the property at the start of the management program. Ideally this inspection takes place when the unit is empty and before a tenant moves in so that all four walls of the unit are visible. It’s important to note these inspections are not meant to replace Home Inspections normally done by licensed personnel. The object is to look for the blatantly obvious at the time of inspection. It is also important to note, for liability reasons, if the unit is already tenanted we do lift couches or look behind bookcases to see if they are covering damaged areas.

During this inspection we also ensure the right number of smoke detectors and carbon monoxide detectors exist and replace their batteries if applicable.

Depending on the number of rental units the fee starts at $250 (for one rental unit) as a one time charge.

Annual Fall Inspection

The purpose of this inspection is to formally inspect the property once a year. The report is usually tied to the fall for the simple reason of ensuring the shut offs to the outdoor water taps are in the off position before the winter season arrives. Any previous inspection done will automatically move forward for comparison with today’s condition. Any maintenance issues will be noted in the inspection as well as any tenant damages. Any maintenance or repair issue involving the safety of the tenants or the preservation of the property will be addressed immediately providing the repair bill falls below our approval threshold of $750. Cosmetic issues will be left to the owner to contemplate. The following items are also performed during the inspection:

  • Testing smoke alarms and carbon monoxide detectors, replacing any batteries or replacing the detectors if older than 5 years
  • Turning off valves to the outdoor water taps
  • Bleeding any hot water rads
  • Check the caulking around bathtubs and redo if necessary
  • Check for leaky taps
  • Take interior and exterior digital photos including any distressed areas requiring attention
  • Clean out dryer hoses of lint.

Depending on the number of rental units the fee starts at $200 per occasion.

Tenant Move In/Out Inspection

The purpose of this inspection is to document the condition of the property at the time of giving the keys to the tenant to which the tenant is required to sign off. This report is then referred to when conducting an exit inspection with the tenant.

The fee for a set of move in/outs is $75.
